Foundation and Purpose
In 2006, our community recognized the need for a structured organization to maintain and enhance the quality of life for all residents. The Homeowners Association (HOA) was established with a clear mission: to manage and protect the value of our properties while fostering a sense of community and cooperation among neighbors.
Achievements
From the beginning, our HOA has been proactive in addressing the needs and concerns of our community. Some of our early achievements include:
Improving Common Areas: One of the core initiatives is to build up our common areas. We protect the landscaping, installed lighting, and maintain the pool facility, creating beautiful and safe spaces for everyone to enjoy.
Community Events: To bring neighbors together, we started organizing community events like community celebrations and garage sales. These events can strengthen our bonds and create lasting memories.
Purpose:
The Landscaping Committee is responsible for enhancing the aesthetics of the community, maintaining common area landscaping, and proposing landscaping initiatives to improve community appeal and value.
The Landscaping Committee is authorized to propose landscaping projects, review landscaping plans, and make recommendations to the HOA board for approval. Major decisions require board approval.
The Landscaping Committee shall consist of 1-5 members, including at least one board member serving as the committee chair. Committee members may include homeowners with landscaping expertise, horticultural knowledge, or a passion for community beautification.
Committee members shall be appointed by the board of directors based on their qualifications, expertise, and commitment to enhancing community aesthetics.
The Landscaping Committee shall meet monthly or as needed to discuss landscaping projects, review proposals, and coordinate maintenance activities.
Meetings shall be conducted in accordance with the HOA's meeting guidelines and procedures.
Meeting agendas and minutes shall be documented and distributed to committee members and the board of directors.
The Landscaping Committee shall submit periodic reports to the HOA board summarizing landscaping activities, project updates, and recommendations for future enhancements.
Reports shall include analysis of landscaping trends, maintenance needs, and proposed budget allocations for landscaping initiatives.
The Landscaping Committee shall maintain open communication channels with the HOA board, management company, landscaping contractors, and residents regarding landscaping matters.
The committee shall provide regular updates to residents through newsletters, website postings, or other communication channels as appropriate.
The Landscaping Committee shall work with the HOA board and management company to access necessary resources, such as landscaping professionals, equipment, and materials.
Committee members shall ensure prudent use of allocated funds and seek approval for any significant expenditures exceeding the budget.

The Finance Committee is responsible for assisting the HOA board in financial matters to ensure the association's fiscal health, transparency, and compliance with financial best practices.
The Finance Committee is authorized by the board of directors, per Shelbrook Plantation HOA CCRs - Article VII and Article IX,to review financial documents, prepare budgets, analyze financial trends, and make recommendations to the HOA board regarding financial policies and decisions. Major financial decisions require board approval.
The Finance Committee shall consist of 1-3 members, including at least one board member serving as the committee chair. Committee members may include homeowners with financial expertise or an interest in HOA finances.
Committee members shall be appointed by the board of directors based on their qualifications, expertise, and commitment to the committee's objectives.
The Finance Committee shall meet monthly or as needed to discuss financial matters, review reports, and develop recommendations.

Major decisions, such as budget allocations or policy changes, require board approval.
The Pool Committee shall consist of 1-3 members, including at least one board member serving as the committee chair. Committee members may include homeowners with an interest in pool management and safety.
Committee members shall be appointed by the board of directors based on their qualifications, availability, and commitment to the committee's objectives.
The Pool Committee shall meet monthly or as needed to discuss pool related matters and initiatives.
Meetings shall be conducted in accordance with the HOA's meeting guidelines and procedures.

The CCR Compliance and Review Committee is responsible for ensuring compliance with the community's Covenants, Conditions, and Restrictions (CC&Rs), reviewing violations, and recommending appropriate actions to uphold community standards.
The CCR Compliance and Review Committee is authorized by the board of directors, per Shelbrook HOA CCRs - Article VII and Article IX, to review reported violations of the CCRs, assess compliance, and recommend enforcement actions in accordance with established guidelines and procedures. Major decisions require board approval. This committee must utilize Shellbrook Plantation HOA CCR Article VII General Covenants Uses Permitted and Restricted, Article IX General Provisions, and amendements for violation review.

Social Development and Communication Committee Member
Position Summary:
The Social Development Committee Member plays a central role in fostering community engagement and communication. This position involves managing the community's online presence, organizing events, and facilitating open communication channels among residents.
Responsibilities:
1. Website Management:
Assist in the maintenance and regular updates of the community website.
Collaborate with fellow committee members to ensure the website provides current information, news, and event details.
2. Newsletter Contributor:
Contribute engaging articles, announcements, and updates for the community newsletter.
Play a role in designing and formatting newsletter content to enhance readability and appeal.
3. Community Engagement:
Take an active role in organizing and participating in community events and activities.
Promote a strong sense of belonging and neighborly relations within the community.
4. Social Media Management (if applicable):
Contribute to the management of the community's social media accounts.
Share relevant updates, captivating photos, and community news on social platforms to keep residents informed and engaged.
5. Communication Liaison:
Serve as a bridge between residents and the committee, addressing inquiries, suggestions, and concerns.
Encourage open and constructive communication within the community and gather valuable feedback to enhance community engagement.
Qualifications:
Possess strong communication and organizational skills to effectively convey information and coordinate events.
Ability to work harmoniously with fellow committee members and collaborate with residents.
Basic knowledge of website management and newsletter creation (training can be provided if needed).
Demonstrated enthusiasm for cultivating a sense of community and promoting positive interactions among residents.
The Architectural Review Committee (ARC) is tasked with ensuring that exterior modifications and additions to homes within Shellbrook Plantation comply with established architectural guidelines and maintain the aesthetic integrity of the community.
The ARC is empowered by the board of directors, per Shellbrook Plantation HOA CCRs - Acrticle VII and Article IX, to review and approve or deny requests for architectural modifications, additions, or alterations submitted by homeowners in accordance with the community's governing documents. The ARC is also governed by Shellbrook Plantation HOA CCRs - Article VI, Architectural Control and amendments.
The ARC shall consist of 1-3 members, including at least one board member serving as the committee chair. Committee members should have a keen eye for design aesthetics and a commitment to upholding community standards. Members shall be appointed by the board of directors based on their qualifications, expertise, and dedication to preserving the architectural integrity of Shellbrook Plantation.
The ARC shall meet as needed depending on the volume of architectural requests to review modification requests, conduct site inspections, and discuss committee business.
Meetings shall be conducted in accordance with the HOA's meeting guidelines and procedures, with agendas and minutes documented and distributed to committee members and the board of directors.
The ARC shall submit periodic reports to the HOA board summarizing its activities, including the number of modification requests received, approvals granted, denials issued, and any emerging trends or issues.
Reports shall include recommendations for updates or revisions to architectural guidelines and standards based on observed patterns or feedback from homeowners.
The ARC shall maintain open lines of communication with homeowners, providing guidance and assistance throughout the modification request process and addressing any inquiries or concerns promptly and professionally.
The committee shall collaborate with the HOA board, management company, and other committees as needed to ensure consistency and alignment with community objectives.
The ARC shall have access to necessary resources, including architectural expertise, reference materials, and support from the HOA board and management company, to fulfill its responsibilities effectively.
Committee members shall ensure responsible stewardship of allocated funds and seek approval for any significant expenditures exceeding the budget.
The ARC shall conduct periodic evaluations of its performance and effectiveness in carrying out its duties.
Committee members shall solicit feedback from homeowners, the HOA board, and other stakeholders to identify areas for improvement and implement corrective actions as needed.
